Booking Fee: A 50% non-refundable Booking fee is required to hold your time/date/character. This fee will be paid via a Square invoice, payable via debit/credit card. We do not accept checks. After agreeing that your preferred time and date slots are available, you have 48 hours to complete our contract(s) and pay the booking fee. Your event is not officially booked until payment of the booking fee has cleared and the contract is signed. Payment of the booking fee indicates agreement to the terms and conditions listed here.
Balance: The remaining (50%) balance of your event must be paid 24 hours before your event start time. Failure to make this payment on time will result in an immediate cancellation, and no refund of your fee will be allowed. This payment can be made via square invoice emailed to you prior to its due date. We do not accept checks. Absolutely NO client-initiated/requested refunds after the performance is started.
Late Bookings: If booking at or less than 7 days in advance, the entire event balance is 100% non-refundable, and required in full at the time of booking to secure event time/date. All fees must be paid and contracts signed within 12 hours of receipt or else you will automatically be withdrawing your booking request.
Performer Interactions: For the entire duration of our performers being on scene, our performers will remain in character! Please refrain from referring to the performer by their given name, or asking questions about the costume or company. We would be happy to answer these questions outside after the event without little eyes or ears nearby, or via phone, e-mail or Facebook. Please help us to keep the magic alive!
Performer Requests: While we do our best to accommodate special requests, we cannot guarantee requests for specific performers. All of our performers are beautiful, highly trained entertainers and actresses.
Event Host: Most parties will include an Event Host. The Event Host will be there to help both parents and performers set up and clean-up activities, as well as to accept payment from the client and answer any questions they might have to help the performers stay in character. While North Florida Fairytales strives to have a host at every event, it is not always possible. You will be notified if an event host will not be in attendance.
Gratuity: Gratuity for the performers is not required, but if you feel the performers were exceptional in their performance, it is always appreciated.
Substance Use: We do not allow smoking, excessive alcohol consumption, or the use of any other substance while our performers are in attendance at an event. Any guest smoking or intoxicated will be asked by the Event Host to step outside. Failure to comply will result in the character(s) leaving the event immediately with full compensation from the client.
Pets/Animals: While we at North florida Fairytales are avid animal lovers, we ask for the protection of our performers and of our costumes, for pets to be leashed and away from the Character. The Event Host will ask for any unleashed pets to be leashed and/or removed from the event space. Failure to comply will result in the character(s) leaving the event immediately with full compensation from the client.
Character Integrity: We at north florida Fairytales pride themselves on our high quality characters and ensembles. Therefore we will not perform while in the company of any other characters, whether they be volunteer, "cosplay", or another hired company. We not only want to preserve our standards, but the magic for the children as well! If we arrive and there are other live characters we have the right to leave immediately with full compensation from the client.
Performer Rights: If at any time a performer or Event Host feels that they are in a threatening, hostile, unsafe, harmful, hazardous, or unsanitary environment, that performer or Event Host retains the right to leave with full compensation from the client. The performer or Event Host also has the right to refuse to perform services if the client is negligent, absent, inattentive, disrespectful, and/or inebriated or under the influence of any foreign substance. Following the event, you will be emailed a full copy of an incident report.
Guardian Requirements: If at any time a performer or Event Host is left alone with the event attendees for more than 5 minutes, an Event Host will ask for a parent/guardian to stay within the event area. Failure to have a parent/guardian present after this request will result in the performer or Event Host leaving with full compensation from the client.
Performer Safety/Weather Conditions: For the sake of our performers' safety and the maintenance of our equipment, we will not perform parties outdoors in temperatures below 40'F or exceeding 80'F. If there is any form of inclement weather (rain, hail, severe wind, snow, etc.), with any level of severity, the client assumes full responsibility to find an indoor alternate venue and notify North Florida Fairytales with a minimum of 24 hours notice. If finding an indoor venue is for any reason not possible, a "rain date" may be scheduled on an available date. If no rain date can be found in the 2 months (60 days) after the original party date, the booking will be canceled with the 50% booking fee belonging to North Florida Fairytales.
Force Majeure: If either party must cancel the engagement due to an “Act of God”, “Force Majeure”, riot, strike, or by the order of any public authority, a “rain date” may be arranged on an available date. If no date can be settled upon within 3 months (90 days), this contract shall become null and void, with the 50% booking fee belonging to North Florida Fairytales. Note: This does not apply to COVID-19. Please view our COVID-19 specific policy below.
Covid-19 Cancellation: If either party must cancel the engagement due to an COVID-19/Corona Virus/CDC COVID-19 mandate, a “rain date” may be arranged on an available date. If no date can be settled upon within 6 months (180 days), this contract shall become null and void, with the 50% booking fee belonging to North Florida Fairytales.
COVID-19 Sanitization and Precautions: North Florida Fairytales properly sanitizes/sterilizes (as defined by CDC guidelines) every costume, prop, or any other item used by the company before and after each use. Similarly, every North Florida Fairytales representative practices all personal hygiene, hand-washing, and sanitizing guidelines (as defined by CDC guidelines) for their person and all personal effects as well as regularly tests for COVID-19 under an abundance of caution. Because of this, North Florida Fairytales operates at every performance, meeting, or any other business endeavor under the knowledge that every North Florida Fairytales representative or item is healthy, sanitary, and is not a possible carrier for the COVID-19/SARS virus. As a result, by booking North Florida Fairytales, Client understands and agrees that North Florida Fairytales has no liability to any client, guest, or other person present at the event for any damages, injuries, expenses, or costs that may result from a guest or any other person being infected with COVID-19.
Face Painting/Glitter Tattoos: Face painting/glitter tattoos are not recommended for children under three years old because their skin is susceptible to irritation from cosmetics. North Florida Fairytales is not responsible for reactions should the Client insist that any child under 3 be painted/tattooed. For sanitary reasons, we reserve the right not to paint anyone with a bad cold, runny nose, cuts, or open sores on the desired paint/tattoo location. Brushes and sponges are single-use items, therefore are clean and sanitary for each event. North Florida Fairytales only use skin-safe non-toxic paints and glues, cosmetic glitters, and gems that wash off with soap and water.
Photo Release: I hereby grant North Florida Fairytales permission to use my, or any event attendee's likeness in a photograph, video, or other digital media in any and all of its publications, including web-based publications, without payment or other consideration. I understand and agree that all photos will become the property of North Florida Fairytales and are not required to be returned. I also authorize North Florida Fairytales to edit, alter, copy, exhibit, publish, or distribute these photos for any lawful purpose. In addition, I waive any right to inspect or approve the finished product wherein my, or any other event attendee's likeness appears.
